Patient Care Coordinator     

About the Position: Perform a variety of reception, secretarial, insurance, and data entry duties for patients/parents in an engaging, welcoming, and warm manner. Answer telephones, schedule appointments, handle patient finance at time of service, maintain patient records, and coordinate patient flow through the office. Promote a safe, pleasant, and harmonious environment for staff, DMDs, and patients.

Job Responsibilities:

  • Open office
    • Retrieve messages from answering service and voicemail
    • Turn on electronic equipment in patient areas (radio, tvs, video games)
    • Unlock doors
  • Greet patients on telephone and in person
  • Answer telephone and triage phone calls
  • Schedule and confirm patient appointments
  • Input patient data and documents into software system
  • Manage daily schedule to maximize productivity and staffing
    • Maintain cancellation list
    • Follow up calls to broken appointment patients
  • General clerical duties
    • Fax, photocopy
    • Tidy patient areas and workspace
  • Financials
    • Prepare collection sheet for each day
    • Collect monies due at time of service
    • Communicate with the Department Manager and Billing Dept. regarding financials
  • Change box money counted and recorded daily
  • Close office
    • Balance end-of-day deposit sheet
    • Phones to answering service and voicemail
    • Turn off electronic equipment in patient areas (radio, tvs, video games)
    • Lock doors
  • General:
    • Perform any reasonable request from manager and/or DMDs
    • Responsible for complying with OSHA, HIPAA security, and privacy policies at all times

JOB SPECIFICATION:

  • Minimum high school graduate
  • Dental or business experience

  • Ability to work with interruptions and to manage multiple priorities
  • Ability to speak, understand, and write fluent English

  • Ability to work unsupervised

Physical Requirements:

Must be in good physical condition and able to withstand the stress and demands of an active practice.  Must be able to endure long hours of standing, walking, stooping, bending, and sitting.  Manual dexterity, good eye-hand coordination, and adequate vision and hearing are needed in daily work.

Physical Environment/Working Conditions:

Encounter clinical and office environment in work routine.  Variable degrees of mental and physical stress; variable amounts of standing, sitting and walking.  Exposure to blood, body fluids and contaminants is possible (clinicians).  Frequent intervals devoted to keyboard manipulation for inputting and retrieving data.  Limited physical activity related to moving, lifting, and transporting objects.
